WEDDING WORKFLOW
In Production, open Clients and select “Add a client” to start the couple’s record.
WEDDING WORKFLOW
Enter the client name and the main contact name, then select “Create client”.
WEDDING WORKFLOW
CUP creates a card that groups the client’s projects and shows their number. The wedding projects will appear inside it.
WEDDING WORKFLOW
Open the client card, select “Add a project”, enter a name (for example “Bob & Célia Wedding”), choose the “Wedding” type, then create the project.
WEDDING WORKFLOW
On the project card, enter the service price to help CUP prepare your billing overview. Then select “Configure”.
CUP PRO
In the project, select “Configure pipeline” and set the stages you want to track for this wedding. This feature is available with CUP Pro.
CUP PRO
In “Build the pipeline”, choose a stage from the list and select “Add”. Here are three ideas for a wedding; adapt them to your workflow. Stages are optional, can be repeated, and can be reordered as you wish.
CUP PRO
For this example, check the order of the three stages: “Questionnaire”, “Planning”, then “Gallery”. Select “Create this pipeline” to continue to its setup.
CUP PRO
Once you have added and ordered the stages, select “Save pipeline” to save the setup to your Wedding project.
CUP PRO
Give the couple client access to the project. Select someone already linked to the client record, or enter the contact’s real email address and select “Add by email”. They can then open the project and complete the shared questionnaire.
CUP LIGHT + PRO
After they are added to the project, the couple receives a CUP email in their inbox. It contains a link to create their password and access their client space.
The link opens CUP’s account setup page. The couple enters and confirms a password, then selects “Create my access” to enter their client space.
Once their password is created, the couple receives another email confirming that their CUP access is active. It provides the sign-in link and outlines what they can do in their client space: follow the project, view images, comment, approve visuals and download deliveries.
After following the sign-in link, the couple arrives at the CUP welcome screen. They can complete their profile (first name, last name, phone number and photo), choose which email notifications they want, then save these details or skip this step for now.
CUP PRO
Once the questionnaire is shared, the couple can enter their preferences and specific expectations: must-have moments and photos, family groups, vendors, any restrictions or sensitivities, and visual references. They can also add practical details for the wedding day, then save their answers and request validation.
CUP PRO
When the couple sends their answers, open the questionnaire in your admin space and review the details and preparation summary. You can save your changes, ask the couple for adjustments, or select “Approve and lock” when everything is ready.
CUP PRO
The couple and photographer share the same schedule. They can each add or edit timeline entries and their useful details: stages, addresses, contacts, phone numbers, notes and reminders. This keeps the schedule up to date for everyone on the wedding day.
CUP PRO
After saving, the schedule entries appear in time order with their useful details. They show the weather for today and tomorrow. Open directions from the address or GPS point in your preferred app: Apple Maps, Google Maps or Waze. A push reminder and a calendar alert can notify you at the chosen time. The guest photo upload QR code is also available from the schedule.
CUP PRO
Before uploading images, choose how and when the couple will be able to view the gallery.
With manual publication, images stay private until you select “Publish gallery”, so you can check your selection before revealing it. With automatic publication, importing the first image makes the gallery visible and sends the single “Gallery ready” email. The client receives at most one email, on first publication.
If your camera or workflow supports FTP/SFTP transfer, you can enable this option. Enter the destination folder name and create it; CUP then displays the remote path to copy into your FTP/SFTP client. CUP does not create an FTP/SFTP account or store a password. Use an account on your computer if its SFTP service is enabled and authorized, or use your hosting account. The publication mode selected in 16.a also applies to images received by FTP.
You can then ask CUP Central to check your hosting folder every 30 seconds and retrieve new images automatically. Choose 12, 24, 48 or 72 hours; the period starts when you press the corresponding button and limits how long checks run, helping manage load on CUP Central and your hosting. Without an active Central relay or a scheduled task on the hosting, checks continue only while this page stays open.
You can set an end date and time for general gallery access. At that time, all public access connected to the gallery closes: guests, press, Live and photo uploads from phones. Choose the date and time, enable the limit, then save it. This deadline limits access to the gallery and its branches over time.
You can display gallery images live on a screen connected to the Internet or to a computer. Enable Live display, set the image order and display interval, then add the client’s logo from a file or URL if you wish. CUP then provides a public link to open on the dedicated screen and show the Live gallery.

You can let guests send their photos from their phones. CUP generates a guest link and QR code that you can share or display at the venue; guests scan it to upload their images to the gallery. Received photos are associated with the guest’s first name and can wait for your approval before publication.
After exporting your photos from Lightroom, add them to the gallery with “Add HD images”, then select “Import”. Before exporting, remember to save metadata to the files in Lightroom. CUP can then display this information alongside each image in the gallery.
In the gallery, select one or more images to save your selection or download them. You can also exclude photos from the guest or press side galleries without removing them from the main gallery. Each image can also be downloaded individually in HD.
Select the images to group, name the selection, then save it. Create multiple selections for different needs, such as “Album”, “Rings” or “Photos to retouch”. They can be found on both the Client and Production sides; you can select them again, update them, download them in HD or delete them.
You can publish a gallery just for guests, available through a link without a CUP account. It uses images from the main gallery, except those marked “Exclude” in the image settings. Guests can browse photos, filter them by tag and download them in high resolution.
Publish a press gallery with a public link separate from the guest gallery. Media can easily download each image in high resolution or Web format, capped at 2,200 px without upscaling. You can also set a deadline that automatically closes the link, useful for assignments where fast image delivery is essential.
Before sharing a project or gallery, make sure the SMTP test succeeds and check client access.
